Team management functionality enables multiple users to collaboratively manage Agents and tasks. Through team features, you can achieve Agent sharing, permission management, collaborative workflows, and other advanced features.

Team Concepts

What is a Team

In Alius Agent Team, a Team is a collection of users and Agents. Team members can share Agents, collaboratively process tasks, and share configurations and templates.

Advantages of Teams

  • Resource Sharing: Team members can share Agents, improving resource utilization
  • Collaborative Work: Multiple people collaboratively handle complex tasks
  • Permission Management: Fine-grained access control through roles and permissions
  • Knowledge Sharing: Share prompt templates, configuration schemes, etc.
  • Unified Billing: Teams have unified billing, simplifying cost management

Creating Teams

Creating a New Team

Step 1: Initiate Creation

  1. On the main interface, click “Teams” in the left navigation bar
  2. Click the “Create Team” button
  3. Fill in basic team information:
    • Team Name: Unique identifier name for the team (required)
    • Description: Description of the team’s purpose (optional but recommended)
    • Team Avatar: Upload team avatar (optional)
  4. Click “Create”

Step 2: Initial Configuration

After creation, the system will guide you through initial configuration:

  • Visibility Settings:
    • Public: Any user can see and apply to join
    • Private: Only visible through invitation
  • Join Approval:
    • Auto Approve: Any application is automatically approved
    • Requires Approval: Administrator approval required to join
  • Default Permissions: Set default role for new members

Team Settings

Basic Information Settings

  • Name: Team name (cannot be duplicated)
  • Description: Detailed description of the team
  • Tags: Tags for easy search and categorization
  • Contact Information: Team contact email or link

Advanced Settings

  • Max Members: Limit team size
  • Max Agent Count: Limit number of Agents the team can create
  • Storage Quota: Limit team’s storage usage
  • API Call Quota: Limit team’s API call count

Managing Team Members

Inviting Members

Invite via Email

  1. Enter team settings page
  2. Select “Member Management”
  3. Click “Invite Member”
  4. Enter the other party’s email address
  5. Select role (Owner, Admin, Member, Viewer)
  6. Add invitation message (optional)
  7. Click “Send Invitation”
  8. Invitee will receive email notification, click link to accept invitation
  1. In member management page, click “Generate Invite Link”
  2. Set link validity period (1 day, 7 days, 30 days, or permanent)
  3. Set default role for members joining through link
  4. Copy link and share
  5. Anyone with the link can join the team

Member Roles and Permissions

Alius Agent Team provides a four-level role system:

Owner

  • Permissions: Full control over the team
  • Capabilities:
    • Modify team settings and delete team
    • Manage all members and roles
    • Manage all Agents and tasks
    • Manage billing and subscriptions
    • Manage team templates and configurations

Admin

  • Permissions: Team management permissions, except deleting team and modifying billing
  • Capabilities:
    • Invite and manage members (cannot modify Owner)
    • Manage all Agents and tasks
    • Manage team templates and configurations
    • View team statistics

Member

  • Permissions: Ordinary member permissions of the team
  • Capabilities:
    • Create and manage own Agents
    • Participate in team tasks
    • Use team-shared Agents and templates
    • View basic team information.

Viewer

  • Permissions: Read-only permissions
  • Capabilities:
    • View team information
    • View team Agents and tasks (cannot modify)
    • View team statistics

Modifying Member Roles

  1. Go to Team Settings > Member Management
  2. Find the member whose role you want to modify
  3. Click the “Role” dropdown menu to the right of that member
  4. Select new role
  5. Confirm modification

Note: Only Owners and Admins can modify member roles.

Removing Members

  1. Go to Team Settings > Member Management
  2. Find the member to remove
  3. Click “More Actions” > “Remove Member”
  4. Confirm removal

Note:

  • After removing a member, that member will lose access to team resources
  • For Agents created by that member, you can choose: transfer to someone else, keep in team, or delete
  • Owner cannot be removed (need to transfer ownership first)

Leaving a Team

If you want to leave a team:

  1. Go to Team Settings > My Settings
  2. Scroll to the bottom of the page
  3. Click “Leave Team”
  4. Confirm leaving

Note: After leaving a team, you will lose access to that team’s resources.

Team Agent Management

Sharing Agents

Share personally created Agents with the team:

  1. Find the Agent you want to share
  2. Click “More Actions” > “Share with Team”
  3. Select the team to share with
  4. Set sharing permissions:
    • Read-Only: Team members can view and use, but cannot modify
    • Editable: Team members can view, use, and modify
    • Manageable: Team members have full control
  5. Confirm sharing.

Team Agent Library

The team has a shared Agent library:

  • View: All team members can view the team Agent library
  • Use: Use team Agents according to permissions
  • Manage: Manage team Agents according to permissions

Agent Usage Statistics

Team administrators can view Agent usage statistics:

  • Number of times each Agent has been used
  • Usage of each member using Agents
  • Resource consumption statistics of Agents

Team Tasks

Creating Team Tasks

Team tasks are tasks visible to the entire team:

  1. When creating a task, select “Team Task”
  2. Select target team
  3. Fill in task information
  4. Select task visibility scope:
    • Team Visible: All team members can see
    • Specified Members Only: Only specified members can see
  5. Submit task

Task Assignment Strategy

Team tasks can use the following assignment strategies:

  • Manual Assignment: Assigned manually by administrator or creator
  • Self-Claim: Team members can claim tasks themselves
  • Auto-Assignment: System automatically assigns based on load and skills
  • Round-Robin: Team members take turns claiming tasks

Team Notifications

Notification Settings

Team members can set notification reception methods:

  • Task Assignment Notification: When tasks are assigned to you
  • Task Status Change Notification: When status of tasks you’re following changes
  • Agent Status Notification: When team Agent status changes
  • Team Member Change Notification: When members join or leave

Notification Channels

  • In-App Notification: Displayed in Alius Agent Team app
  • Email Notification: Sent to registration email
  • WeChat Notification: Sent through WeChat service account (requires binding)
  • Watch Notification: Pushed to Apple Watch (requires pairing)

Team Activity Log

Team administrators can view team activity logs:

  • Members joining/leaving
  • Agent creation/modification/deletion
  • Task creation/assignment/completion
  • Settings changes

Activity logs are retained for 90 days and can be used for auditing and troubleshooting.

Team Templates and Configuration Sharing

Prompt Template Sharing

Team members can share prompt templates:

  1. Create or edit a prompt template
  2. Select “Team Visible” in “Visibility” settings
  3. Save template
  4. All team members can use this template

Configuration Scheme Sharing

Similarly, you can share Agent configuration schemes:

  1. Save Agent configuration as a scheme
  2. Set scheme as “Team Visible”
  3. Other team members can quickly create Agents based on this scheme

Team Billing and Subscriptions

Billing Models

Alius Agent Team provides the following billing models:

  • Per-Seat Billing: Billed based on number of team members
  • Resource-Based Billing: Billed based on resources used by team (Agent count, API calls, etc.)
  • Hybrid Billing: Base fee + resource usage fee

Subscription Management

View Current Subscription

  1. Go to Team Settings > Billing & Subscriptions
  2. View current subscription plan
  3. View resource usage and quotas

Upgrade Subscription

  1. On the billing page, click “Upgrade”
  2. Select new subscription plan
  3. Confirm payment
  4. Subscription takes effect immediately

Cancel Subscription

  1. On the billing page, click “Manage Subscription”
  2. Select “Cancel Subscription”
  3. Confirm cancellation
  4. Subscription will expire at the end of current billing cycle

Invoice Management

  1. Go to Team Settings > Billing & Subscriptions > Invoice Management
  2. View historical invoices
  3. Apply for invoice
  4. Set invoice receiving email

Team Data Export

Export Team Data

Team Owners and Admins can export team data:

  1. Go to Team Settings > Advanced > Data Export
  2. Select data to export:
    • Basic team information
    • Member list
    • Agent list and configurations
    • Task history
    • Activity logs
  3. Select export format (JSON, CSV, PDF)
  4. Click “Export”
  5. System will generate export file and send download link

Data Retention Policy

  • Active Team: Data permanently retained
  • Deleted Team: Data retained for 30 days then permanently deleted
  • Left Member: Their created resources handled according to settings

Deleting Teams

Warning: Deleting a team is a permanent operation and cannot be recovered.

Pre-Deletion Preparation

Before deleting a team:

  1. Backup Data: Export important team data
  2. Handle Agents: Decide ownership of team Agents
    • Transfer to specific member
    • Retain as personal Agent
    • Delete
  3. Notify Members: Notify team members in advance
  4. Settle Fees: Ensure no outstanding payments

Deletion Steps

  1. Login as Owner
  2. Go to Team Settings > Advanced > Delete Team
  3. Read deletion warning
  4. Enter team name to confirm
  5. Click “Permanently Delete Team”
  6. Team will be marked as “Deleted” and data permanently cleared after 30 days

Best Practices

Team Structure Design

Small Team (< 10 people)

  • 1 Owner
  • 1-2 Admins
  • Rest are Members
  • Optional: Add Viewer (e.g., interns, trainees)

Medium Team (10-50 people)

  • 1 Owner
  • 3-5 Admins (responsible for different areas)
  • Multiple Members (grouped by project or function)
  • Optional: Add Viewer

Large Team (50+ people)

  • Consider creating multiple sub-teams
  • Each sub-team has independent Owner and Admin
  • Establish clear permission and approval workflows

Naming Conventions

Recommended to establish naming conventions for team resources:

Agent Naming: {team}-{project}-{purpose}

Regular Audits

Recommended to conduct regular team audits:

  • Member Audit: Quarterly review of member list, remove inactive members
  • Permission Audit: Quarterly review of member permissions, ensure least privilege principle
  • Resource Audit: Monthly review of Agent usage, clean up unneeded Agents
  • Security Audit: Monthly review of activity logs, detect abnormal behavior

FAQ

How to Transfer Team Ownership?

Only current Owner can transfer ownership:

  1. Go to Team Settings > Member Management
  2. Find the member to promote to Owner
  3. Modify their role to Owner
  4. System will prompt you to confirm ownership transfer
  5. After confirmation, you will become Admin role

Is There a Limit on Number of Team Members?

Depends on your subscription plan:

  • Free: Up to 3 members
  • Basic: Up to 10 members
  • Professional: Up to 50 members
  • Enterprise: Unlimited

Can I Create Multiple Teams?

Yes. You can be a member of multiple teams, or even own multiple teams.
